Full-Time Office Magician – Come Join our Admin Team!

We are excited to recruit an additional administrative member who is eager to showcase their ability to support, collaborate and grow within an entrepreneurial team. This is a full-time position with benefits. This is a shared position with Kate Dewhirst Health Law (law firm) and our sister company Something Orange Training Inc. (training company) that both serve the health sector.

We need a collaborative, tech-savvy candidate who can carry out:

Scheduling:

  • Schedule all meetings and appointments for lawyers and trainings for instructors and liaise with clients

New Client Intake:

  • Open files and send information to new legal clients

Training, Events and Course Support:

  • Send emails to prospective clients to explain training options and fees
  • Send preparation information to booked clients to explain what to expect and how to prepare for training and receive their responses
  • Support trainers on Zoom – organize breakout rooms and accommodation of people who need special service in the session
  • Send follow up information and design satisfaction surveys for participants
  • Edit Zoom recordings
  • Post recordings and handouts on our training site (the platform is Moodle)
  • Support in-person events by liaising with vendors, caterers, locations and tech support
  • Sends marketing emails for events

Workflows:

  • Create, manage, update and follow workflows for office tasks in Monday.com and MyCase (a legal software)
  • Assist team members to manage their tasks by taking their work and transforming it into step-by-step actions and automation

Tech Support:

  • Liaise with external consultants on automation efforts and with IT service providers
  • Monitor, manage and stay up to date with our online systems and technology to support all team members including Outlook, Microsoft Suite, Adobe, Google docs, Zoom, Moodle, SendinBlue, word press, Survey Monkey, Monday.com, and others

Document design and formatting:

  • Make our content look beautiful (with the help of our design consultants)
  • Formatting including Excel spreadsheets and large word and PDF documents
  • Update website content of upcoming events
  • Collaborate with our external marketing coordinator on all social media/marketing initiatives

The successful candidate will love technology and learning new programs. You will have an advantage if you are a Monday.com pro and if you know how to create and manage workflows.

The candidate will have strong organizational, technical, administrative, time management and project management skills, be proactive, be a great communicator, be optimistic and kind to people, be accessible and friendly and be eager to learn and grow in a dynamic, ever-evolving environment.

This position is perfect for you if your natural instincts are to: see a project through to completion; identify inaccuracies; ask questions and confirm observations; rearrange transactions to speed up the process and design repeating patterns, sequential steps and procedures.

This position is not good for you if your natural instincts are to: stick with what’s working without questioning how it could be better; generalize; talk in the abstract; abandon projects after you start them; or provoke the unforeseen.
